We build software that solves the problems your team has learned to live with.

Small manufacturers and growing businesses hire us when they've outgrown spreadsheets but can't justify enterprise software. We scope it, build it, and hand it over — with everything your team needs to run it on their own.

Some problems we've solved

Every engagement starts with a specific operational problem. These are three we've solved for teams like yours. Client details are kept confidential by default.

Field operations

Asset Visibility

A field operations team was spending the first part of every job figuring out where their equipment was. Assets moved between sites, didn't come back, or sat idle because nobody knew they were available. The answer always required a phone call — sometimes several.

They now have a live view of every asset across every active job site, updated in the field by the people already touching the equipment. Idle assets get redeployed. Missing ones get found. The phone calls stopped.

Sales & estimating

Estimating at Sales Speed

Every time a prospect submitted an inquiry, someone with engineering knowledge had to stop what they were doing and build a cost estimate from scratch. Response time was measured in days. Some quotes never got sent.

Preliminary estimates now go out in minutes, generated directly from the customer's own file. Engineering reviews the edge cases. The straightforward ones handle themselves.

Proposals & bidding

Proposal Accuracy

Putting together a proposal meant pulling numbers from experience, spreadsheets, and gut feel — then hoping the job scope didn't shift before signature. Underbids hurt margin. Overbids lost work.

Proposals are now built from structured inputs and consistent logic. Estimators spend their time on scope judgment, not arithmetic. Numbers are defensible before the meeting starts.

How it works

We build for independence, not dependency. The goal is a tool your team owns and runs — not a relationship where you're calling us every month.

01 — Scoping

Understand before proposing

We spend time understanding the problem before we propose anything. If it's not worth building, we'll tell you. If a simpler solution already exists, we'll point you there.

02 — Build

Fixed price, defined scope

No runaway invoices. Most projects deliver in 30–60 days. We document everything well enough that a new hire can figure it out — and we hand that documentation over with the build.

03 — Handoff

Close support, then step back

We stay close through go-live, fix what needs fixing, and step back when you're running. When your needs grow, we scope the next thing. Change orders are straightforward.

On adoption: We build tools simple enough that a five-page manual is overkill — and we write that manual anyway. Long-term adoption depends on your organization. We're not a managed service. What we can promise is that what we deliver works as specified and is built to be understood by the people using it, not just the people who built it.

Background

Who we are

GAIA was founded by a product development and operations professional with hands-on experience in ISO 9001-certified manufacturing environments. We understand cross-functional coordination, quality requirements, and the real constraints that make or break software in an operational setting.
